Purpose:
Interlibrary Loan (ILL) is the process through which faculty, staff, and current students at Wheeling Jesuit University may request materials, that are not locally owned, be obtained from another location to support education and research needs. The library follows the American Library Association’s Interlibrary Loan Code for the United States. Eligiblity:
Faculty, current students, and staff (including CET) are eligible to use this service. Student is defined as anyone enrolled in an academic course at Wheeling Jesuit University regardless of the program. NTTC employees should coordinate ILL via the Knowledge Based Service Center.
Material Types:
The library will request ILL’s for books and journal articles if the item is not currently available in the library’s collection. ILL’s for multimedia materials (CD’s, DVD’s, etc) will be honored for faculty only. In addition, the library discourages requests for the following items: archival materials, rare/valuable materials, reference books, text books, newspapers, and dissertations as these requests are difficult to obtain and are usually refused by the lending library. Procedure for Requesting ILL:
Requestor must first check the Library’s Book Catalog and Library’s Electronic Journal Resources to see if the item is available locally.
- On Campus - Student Procedure
Students in undergraduate programs and students of graduate programs residing in/near WJU campus may submit a request using the Interlibrary Loan (ILL) Form or for books – use WorldCat (a library electronic resource). Access WorldCat via the First Search Database Collection ŕ WorldCat ŕ Perform Search for interested titles ŕ Click on Book Title ŕ Click on the ILL symbol located at bottom of page ŕ Complete form ŕ Click Submit. Must be using an On-Campus Internet Connection.
- Distant Learner Procedure
Students enrolled in a Distance Learning Program may request that items be mailed directly to their residence and may submit a request by using the Interlibrary Loan (ILL) for Distance Learners.
- Faculty/Employee (including CET) Procedure
Submit request using the Interlibrary Loan (ILL) or for books – use WorldCat (a library electronic resource). Access WorldCat via the First Search Database Collection ŕ WorldCat ŕ Perform Search for interested titles ŕ Click on Book Title ŕ Click on the ILL symbol located at bottom of page ŕ Complete form ŕ Click Submit. Must be using an On-Campus Internet Connection. Or Email request to either the Head of Circulation/ILL or a Librarian (library@wju.edu).
Follow Up to ILL Request:
- Library will notify the requestor via email within 72 hours confirming that the request is being processed.
- If you do not receive an email within 72 hours, please contact the library to check on your request.
- If the lending library’s charge exceeds $2.00 or amount entered by requestor, the library will contact the requestor to approve the additional cost before proceeding with the ILL.
- The ILL department may have a student’s request reviewed by a Reference Librarian prior to processing. This is recommended if a student submits more than five (5) requests in a week.
Costs:
- Undergraduate – Day/Adult Education/Graduate Education
- No charge to students for ILL of books or articles, unless the lending library charges WJU-BHL.
- Exceptions: Students will be billed $2.00 for all ILL’s not picked up within seven (7) days of email notification of item’s availability at Bishop Hodges Library.
- Distance Learners
- Distance Learners are eligible for special ILL services as the library services are not conveniently accessible to them. ILL books and articles will be mailed directly to the student’s residence. Students may return books by dropping them off in person at the WJU – BHL or return books in the same packaging using the enclosed postage paid label.
- A Distance Learner is defined as a student enrolled in an academic program or course that is online or located at a site outside of the Wheeling area.
- Students in a program defined as Online or Off-Campus Location currently include:
- Accelerated Certification for Teaching Program (Online)
- BOLD Program (Off-Campus Locations)
- Bachelor of Science in Healthcare Leadership (Online)
- Bachelor of Science in Nursing =RN to BSN (Online)
- Master of Science in Nursing = RN to MSN (Online)
- Master of Science in Nursing = BSN to MSN (Online)
- Master of Science of Organizational Leadership (Off-Campus Locations)
In addition, those students registered for an “online” course during a Summer Session.
- No charge to students for ILL of books or articles, unless the lending library charges WJU-BHL. Distance Learners are responsible for paying “lending library charges”.
- The Department of Adult Education will be invoiced for postage costs incurred by the Library for mailing books and articles to the student’s residence and the postage cost incurred by the library when the student mails the book back to WJU-BHL.
- Faculty/Administration/Staff
No charge to Faculty/Administration/Staff for ILL of books or articles, unless the lending library charges WJU-BHL.
- CET-Center for Educational Technology
CET Employees will be charged for ILL items
- $.10 cents per page for articles and $1.00 for postage
- $3.00 postage for books
- Plus, any lending library costs.
CET Employees will be charged $.10 cents per page plus $1.00 handling fee for retrieval of articles located within BHL by library workers.
- Jesuits @ WJU
No charge
Notification:
- Requestors of ILL materials will be notified via email and/or phone that their item is available at the Library for pick-up.
- Books not picked up within seven (7) days of notification, will be returned to the lending library. As noted above, students will be billed $2.00 for all ILL’s not picked up within seven (7) days of email notification of item’s availability at Bishop Hodges Library.
- Any students identified as a "Distance Learner”, will have ILL items mailed directly to the home address he/she provided on their ILL form.
Loan Periods, Renewals, & Recalls for ILL Books
- Loan period for books is determined by the lending library.
- ILL Due Date/Charge Notification” slip will be included with the book.
- Renewal Requests must be made prior to the due date by contacting Head of Circulation/ILL at (library@wju.edu) or 304/243-2226. Renewals are determined by the lending library. You will be notified if a renewal has been granted or if you must return the book immediately.
- A lending library may “recall” an item prior to the Due Date. The borrowing patron will be notified via email/phone when an item has been recalled. The item must be returned within 24 hours or an overdue fine may be levied.
Overdue/Lost/Unreturned ILL Books:
- Books not returned by the Due Date (unless a Renewal Request has been submitted) will be subject to a $5.00 per day FINE.
- Requestors will be responsible for paying the full cost charged by the lending library for any lost/unreturned or damaged ILL book.
